JOB OVERVIEW: The Operations Coordinator is a key role responsible for managing the flow of orders from procurement to completion and ensuring the timely collection of payments. This position plays a pivotal role in maintaining high customer service standards and supporting the business's cash flow. The ideal candidate will provide administrative support, oversee customer interactions, and ensure that all operational tasks are executed efficiently to deliver a seamless customer experience.

DUTIES & RESPONSIBILITIES:
Customer Engagement and Relationship Management
- Professionally greet and assist customers via phone, WhatsApp, social media, and in-person interactions.
- Address customer inquiries, resolve concerns, and encourage orders with a solutions-focused approach.
- Ensure all customers are informed of their order status and deliver exceptional service to foster loyalty.
Order and Payment Management
- Generate, send, and track invoices, ensuring prompt customer payments.
- Record payments in the invoicing system, issue receipts, and maintain accurate financial records.
- Follow up on over due payments professionally and effectively.
- Monitor order progress and ensure timely addition of jobs to the production schedule.
Operational and Administrative Oversight
- Coordinate and manage the company calendar, including site visits, installations, and job deadlines.
- Regularly check and respond to emails, prioritizing and escalating critical communications as necessary
- Maintain records of company expenses and customer payments, ensuring accuracy in financial documentation.
- Do Data entry and use database management systems.
Reception and Office Management
- Welcome visitors ,manage the reception area, and ensure a positive first impression.
- Operate and maintain office equipment, including photocopiers, scanners, and binders.
- Prepare and format professional documents such as letters and reports.
- Perform other duties assigned by the Production Manager to support the team.
- Performs other duties as assigned.
- Comprehensive understanding of office management practices and customer service principles.
SKILLS AND ABILITIES:
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite and accounting systems.
- Exceptional organizational skills and keen attention to detail.
- Excellent time management and ability to prioritize tasks effectively.
- Strong interpersonal skills and ability to build positive relationships.
- Dependable, ethical, and solutions-oriented mindset.
- Ability to work collaboratively and independently with minimal supervision.
- Basic arithmetic and financial record-keeping skills.
MINIMIM EXPERIENCE & TRAINING:
- Education: Associate Degree or Diploma in Business Administration, Management, Communications, or a related field
- Certifications:Additional certifications in printing processes or project management (e.g., PMP, CAPM) are an asset but not required.
- Experience: At least two (2) years of experience in an administrative, operational, or customer service role.
- Skills:Familiarity with order management systems or printing workflows is preferred.
