ADMIN & DESIGN ASSISTANT (FULL TIME)

Job Overview:
The Admin & Design Assistant at Creative Realm Ltd is a versatile position encompassing both administrative and graphic design responsibilities. This individual will play a crucial role in managing front-desk tasks, providing excellent customer service, and contributing to the visual identity of the company through basic to intermediate graphic design support.
We are seeking an individual with outstanding customer service skills who is dedicated to meeting clients' needs. This position is tailor-made for individuals who possess a genuine passion for graphic design and production work. The ideal candidate will be highly motivated, detail-oriented, and adept at thriving in a fast-paced, performance-driven environment.
Duties and Responsibilities:
• Answer and greet customers professionally via phone, WhatsApp, and social media.
• Interact with customers visiting the business, addressing customer queries, and encouraging orders.
• Ensure exceptional customer service, keeping customers informed about order statuses.
• Manage the company calendar, adding site visits, appointments, and deadlines.
• Generate and send invoices to customers, record payments, and send payment reminders.
• Operate office equipment, including photocopiers, scanners, and facsimile machines.
• Conduct stocktaking and perform other assigned administrative duties.
• Collaborate with the team and maintain effective relationships with colleagues and the public.
• Assist in liaising with the Production Manager and clients to understand design requirements.
• Support in the development of basic concepts, graphics, and layouts for design projects.
• Create visually appealing designs for clients, incorporating feedback and revisions.
• Operate print machinery and print software with guidance from the Production Manager as needed.
• Assist with material application and other labor required for job completion.
• Capture content for promotional purposes.
• Collaborate with the team on design and production work, maintaining high-quality standards.
• Perform other duties as assigned.
Skills and Abilities:
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite, basic design software (Photoshop and Illustrator), and print production software.
• Detail-oriented, organized, and customer-focused.
• Ability to multitask and meet deadlines with guidance.
• Strong time management and organizational skills.
• Flexibility and adaptability to handle a variety of tasks.
• Collaborative team player with a positive attitude.
• Basic understanding of graphic design principles.
Minimum Experience and Training:
• Minimum three (3) CAPE/GCE A Level passes preferably in business related or design related subjects and/or
• An Associate Degree (or equivalent) in Business Administration, Communication, Graphic Design or related discipline and
• Minimum of two (2) years administrative and/or customer service experience preferably in a professional environment.
• Experience dealing with strict deadlines in a results oriented environment is an asset.
• Demonstrated interest, coursework and/or experience in graphic design and production work.
